This policy explains what personal information Strataic collects, why we use it, who helps us process it and the choices you have.

2. Information we collect

When you contact us

Our enquiry forms ask for your name, work email address and a message. Your organisation and phone number may be optional. The form also records which Strataic page it was sent from.

Formspree, which operates the forms, may process technical information such as your IP address, browser, referring page and submission time for delivery, security and spam prevention.

When we work with you

We may keep business contact details, correspondence, meeting notes, proposals, contracts, invoices and information needed to provide our services.

Website measurement

We use Plausible Analytics to understand which pages are visited and where visitors came from. Plausible does not use cookies, does not create persistent visitor identifiers and reports aggregate website statistics.

Please do not include sensitive personal information or confidential business material in an enquiry form unless it is necessary.

3. How and why we use information

  • To answer enquiries and discuss possible work. We rely on our legitimate interest in responding to people who contact us and, where relevant, taking steps at your request before entering into a contract.
  • To provide services and manage our business relationship. We rely on our contract with you, steps taken before a contract and our legitimate interests in running the business.
  • To keep financial and legal records. We process information where needed to meet legal obligations and protect our legal rights.
  • To protect the forms and website from misuse. We rely on our legitimate interest in keeping our services secure and limiting spam.
  • To understand and improve the website. We rely on our legitimate interest in measuring aggregate website use through privacy-conscious analytics.

Submitting an enquiry does not add you to a marketing list. If we introduce email marketing, we will provide a clear choice and an easy way to unsubscribe.

The name, email address and message fields are required if you want a reply. There is no legal or contractual obligation to use the form, but we cannot respond through it without the required details.

We do not use personal information for automated decisions or profiling that produces legal or similarly significant effects.

4. Who processes information for us

We do not sell personal information. We use a small number of service providers:

  • Formspree, Inc. receives enquiry forms, filters spam, stores submissions for a limited period and sends us a notification. See Formspree's privacy policy.
  • Plausible Insights OÜ. provides aggregate, cookieless website analytics. See Plausible's data policy.
  • Microsoft 365. provides our business email and may hold correspondence after a form submission reaches us.
  • Inventive Hosting. hosts the website and may process routine server logs needed for operation, reliability and security. See Inventive Hosting's privacy policy.

We may also share information with professional advisers, regulators, courts or public authorities where reasonably necessary or legally required.

5. International transfers

Plausible says its analytics data is processed and stored in the European Union. Formspree is based in the United States and may process submissions in the United States or other countries.

Where personal information is transferred outside the UK, we use an applicable lawful transfer mechanism, such as UK adequacy regulations or approved contractual safeguards. You can contact us for more information about safeguards relevant to your information.

6. How long we keep information

  • Form submissions are available in our Formspree account for up to 30 days under our current plan.
  • Enquiry emails and related correspondence are normally kept for up to 24 months after the last meaningful contact.
  • If you become a client, relevant contract, service and financial records are kept for the relationship and afterwards where needed for legal, tax, accounting or dispute purposes. Financial records are normally kept for six years.
  • Plausible provides aggregate statistics rather than identifiable visitor profiles. Those statistics are retained according to our Plausible plan and settings.

We may delete information sooner when it is no longer needed, or keep it longer where the law requires it or a legal claim makes that necessary.

7. How we protect information

We use reasonable technical and organisational measures to protect personal information. These include limiting access, using reputable service providers and using encrypted connections where supported. No online service can guarantee absolute security.

8. Cookies

We do not currently use non-essential analytics cookies. Plausible Analytics measures website use without cookies or persistent visitor identifiers. If our use of cookies changes, we will update this policy and ask for consent where the law requires it.

9. Your rights

Depending on the circumstances, UK data protection law may give you the right to ask for access to your personal information, correction, deletion, restriction or transfer to another provider. You may also withdraw consent where processing is based on consent.

You have the right to object to processing based on legitimate interests. Tell us about your concern and we will stop unless we have a compelling lawful reason to continue.

These rights are not absolute and exemptions may apply. We may need to confirm your identity before completing a request. We normally respond within one month.

We may update this policy when our services, suppliers or legal obligations change. The date at the top shows when it was last updated.
